
Position Overview
As an Events Officer, you will plan and deliver GenEI’s events from concept to completion, managing everything from logistics and speaker outreach to content development and on-the-day technical support.
The position is voluntary, with an expected commitment of 4-5 hours per week.
Key Responsibilities
- Handle logistical aspects of events to ensure everything runs smoothly (book venues, arrange necessary equipment if needed).
- Develops and curates content for events, ensuring relevance and engagement: Identify and invite speakers, panelists, and moderators; Develop event agendas and discussion topics; Create event materials, including programs, presentations, and handouts.
- Work with the Communications and Outreach Committee to promote events.
- Handle event registrations and confirmations: Communicate event details and updates to participants.
- Provide technical support for online and in-person events: Set up and manage online event platforms (e.g., Zoom, Microsoft Teams); Ensure audio-visual equipment functions correctly and assist speakers and participants with technical needs.
- Act as rapporteur during events and draft a post event report with key takeaways of the event.
- Run participant feedback surveys and maintain an impact dashboard (registrations versus attendance, satisfaction, reach), with a short evaluation to the Head of Events and Board at the end of the year.
- Track the EU-India policy agenda (trade and FTA, tech, climate, security, mobility, culture etc) and keep a pipeline of event concepts mapped to the political calendar.
- Write concept notes covering rationale, target audience and format, and design moderator questions and the audience Q&A approach.
What We Look For
- A genuine interest in event planning. Prior experience is a plus, not a requirement.
- Any academic or professional exposure to EU-India affairs is a valuable asset, though not mandatory.
- Above all, motivation and reliability. This is a voluntary role, so we care most about people who are enthusiastic about building something together for strengthening EU-India relations.
General Requirements
- Passion for EU-India relations and youth engagement.
- Be a national of any of the 27 EU Member States, India, or a country recognised as an EU membership candidate.
- Be between 18 and 35 years old.
